In every office there is someone who is obsessed with the latest tech and the one in ours predicts that our office is going to become a paperless office, an eco-aware office that doesn't even use paper for post-it notes. Whether this prophecy will come true is as of yet not clear but any office can cut back on paper and reap all of the benefits.

There is more than one reason why a Dallas office should cut back on paper consumption, for one there is a lot of money to be saved, then there are blatant environmental benefits and also because low-tech paper is not the safest way to keep confidential information protected.

So for a firm that is relocating to offices in Dallas here are some pieces of advice to make that particular office a modern and paperless office, as compiled by us.officebroker.com.

1) Firstly, work out where in Dallas is your nearest recycling facility. As a manager you need to work out where the recycling facility is and how long it will take to get there. You should also look into organising a collection service, because from your office it may be quite far to the recycling plant.

2) ...
... Next, you should use emails rather than paper and snail mail. One of the most effective ways to cut back on your office paper consumption is to use emails and instead messaging instead of fax machines, memos and sending letters. If you use this method then you will be able to reduce office spending and you will also make employees a lot more efficient as they will not longer have to travel through the office when passing on a letter but instead they will be able to click a button to send an email.

3) Newspapers, magazines and marketing materials can now all be received electronically, so there is practically no need to have a cumbersome and out-dated paper copy as well. This is the case as this use of paper is perhaps the most inefficient use of paper that there has ever been. This is because magazines and newspapers usually end up in the trash can anyway, so if that is the case then it is just a giant waste of paper. Also if you subscribe to an electronic version of a magazine you will then be able to utilise those articles more easily in presentations and reports.

4) Eliminate the need for post-its with an office white board. You office employees will need a place to make notes and usually this is on a yellow post-it note but in a low paper office you could buy a whiteboard and use that instead. A whiteboard is reusable and is a great way to make handy little notes or to jot down reminders. All of which means a whiteboard can be the ultimate way to minimise the use of paper in your office. So if you have just taken Dallas office space from us.officebroker.com, then make sure you go to a stationary shop for a board.

5) And remember, I'm not just talking about cutting back on the use of A4 paper. It can also mean using electric hand-dryers in the toilet instead of paper towels and by using mugs instead of those paper cups that just get thrown in the bin. There is an endless list of things to do to reduce the consumption of paper, it might even be something as easy as designating a corner of the office for the proper disposal of paper.

Just a few months ago one of the companies I work with relocated to a Dallas office and they used the change as an opportunity to turn the office into a paper-reduced office. In the end the company saved quite a lot of money as their staff really got behind the initiative and supporting the new guidelines.
