Qbesync Setup Guide — Uae E-invoicing For Quickbooks Desktop And Online
QBESync is the UAE Peppol e-invoicing connector for QuickBooks — developed by Perfonec, the Authorised QuickBooks Dealer and Pro Advisor in UAE. UAE mandatory e-invoicing requires every VAT-registered business to send B2B invoices through the UAE Peppol network in PINT AE XML format from 2027. QuickBooks does not have this built in. QBESync is consequently the bridge between QuickBooks and the UAE Peppol network.
This guide covers the complete QBESync setup process — all 9 steps from version check through to go-live. Setup takes 4 to 8 weeks. The PINT AE data audit is the longest step — not the technical installation. The pilot phase from 1 July 2026 carries zero fines — start now while testing is free.
Quick Reference
QBESync connects QuickBooks Desktop 2017 to 2024 and QuickBooks Online to the UAE Peppol network. Setup takes 4 to 8 weeks. Go-live deadline is 1 January 2027 for businesses with revenue above AED 50 million and 1 July 2027 for all other VAT-registered businesses. The pilot phase from 1 July 2026 carries zero fines during testing.
Overview — All 9 Setup Steps
Step 1 ...
... is the version check on Day 1. Perfonec confirms whether your QuickBooks version supports QBESync. QB Desktop 2017 to 2024 and QB Online are both supported. QB Desktop 2016 and older require an upgrade before any setup begins.
Step 2 is the PINT AE data audit covering Week 1 to 3. Perfonec audits every customer and product record in QuickBooks against all 17 mandatory PINT AE fields. This is the most important step. Between 20 and 40 percent of UAE QuickBooks customer records are typically missing the buyer TRN (BT-46). Generic item descriptions, unstructured addresses, and wrong unit codes all cause PINT AE schema validation failure.
Step 3 covers data quality fixes from Week 2 to 4. The client team fixes all issues from the audit — collecting missing TRNs, renaming generic items, splitting unstructured addresses, mapping wrong unit codes, and tagging free zone customers. This step takes 1 to 3 weeks depending on the number of records and the quality of existing data.
Step 4 is ASP registration from Week 2 to 3. Perfonec registers the business with an Approved Service Provider. The ASP connects QBESync to the UAE Peppol network. Registration covers the company TRN, Peppol participant ID, and network endpoint. Perfonec handles this step entirely.
Step 5 is QBESync installation and configuration from Week 3 to 4. Perfonec installs QBESync on QB Desktop via the local SDK API or connects it to QB Online via the cloud API. Configuration covers the ASP connection, VAT code mapping, all 7 invoice type settings, free zone beneficiary field configuration, and multi-currency AED equivalent rules. Configuration takes 1 to 2 days once all data fixes are complete.
Step 6 is Peppol sandbox testing from Week 4 to 6. Perfonec and the client team test all 7 invoice types. Zero fines apply for any failure during the pilot phase — making this the right time to find and fix every issue before go-live.
Step 7 covers fixing pilot issues from Week 5 to 7. Perfonec reviews every pilot rejection and provides a specific fix. Most issues resolve within 1 to 3 days.
Step 8 is team training from Week 6 to 7. Perfonec trains the accounts team on the live QBESync workflow — confirming invoices, checking Peppol delivery status, handling rejections, and raising credit note type 381.
Step 9 is go-live from Week 7 to 8. After all 7 invoice types pass pilot and training is complete, the business goes live. Every B2B invoice confirmed in QuickBooks consequently transmits through Peppol automatically — with no extra action from the accounts team.
Step 2 in Detail — PINT AE Data Audit
The PINT AE data audit checks every customer and product record in QuickBooks against the 17 mandatory fields. Here are the 8 most common issues found in UAE QuickBooks setups and how to fix each one.
Buyer TRN (BT-46) is missing from 20 to 40 percent of UAE customer records. The fix is to collect the UAE TRN from every VAT-registered customer before go-live. This is the highest-risk field — invoices reject immediately without the buyer TRN.
Item description (BT-153) fails when names like Services, Goods, Item, Consulting, or Supply are used. These are too generic for the FTA business rules check. The fix is to rename every product and service to a specific description — for example IT Support Monthly, Steel Pipe 6m, or Warehouse Storage per Pallet.
Unit code (BT-130) fails when non-standard values like Each, Box, Lot, or Piece are used. These are not valid UN/CEFACT codes. The fix is to map each unit to the correct UN/CEFACT code — EA for each, KGM for kilogram, MTR for metre, LTR for litre, HUR for hour, DAY for day.
Seller address (BT-35) fails when the full company address is stored as one unstructured text block in QuickBooks company settings. The fix is to split the address into street, city, and country code in the company settings.
Buyer address (BT-50) fails for the same reason across customer records. The fix is to split the billing address into street, city, and country code in every customer record.
VAT category (BT-151) fails when the wrong category is applied — for example standard 5% on zero-rated or exempt supplies. The fix is to check every product and service. S is standard 5%, Z is zero-rated for exports and international services, E is exempt, and O is out of scope.
Free zone beneficiary field fails when buyers in JAFZA, DMCC, IFZA, DIFC, or RAKEZ are not tagged as free zone customers in QuickBooks. The fix is to tag every free zone customer — QBESync then populates the free zone beneficiary field automatically on every invoice to that customer.
Currency (BT-5) fails when the AED equivalent is missing on USD or EUR invoices. QBESync calculates and populates the AED equivalent automatically per Version 1.1 — no manual fix is needed for this field.
Step 6 in Detail — Pilot Phase Testing
The UAE e-invoicing pilot phase opened on 1 July 2026. Zero financial penalties apply to any failure during pilot. Consequently, every rejected invoice during pilot costs nothing. The same rejection after the mandatory go-live date triggers AED 100 per invoice. Test all 7 invoice types before going live.
Standard B2B invoice — raise a sales invoice to a UAE VAT-registered test customer. Check that the PINT AE XML is created with all 17 fields correct and that the Peppol status shows as delivered.
Credit note type 381 — issue a credit memo in QuickBooks against a test invoice. Check that the document type is 381 and that the original invoice reference appears correctly in BT-25.
Advance payment invoice — raise a deposit invoice before the full order invoice. Check that the advance payment flag is correct per UAE E-Invoicing Guidelines Version 1.1.
Zero-rated export invoice — raise an invoice to an overseas buyer with a country code that is not AE. Check that the VAT category is Z, the VAT rate is 0 percent, and the buyer country code is not AE.
Free zone invoice — raise an invoice to a JAFZA or DMCC test customer. Check that the free zone beneficiary field is populated and that the Peppol delivery status shows as delivered.
Multi-currency invoice — raise a USD or EUR invoice to an international test customer. Check that the AED equivalent amounts are populated correctly and that the exchange rate applied is correct per Version 1.1.
Incoming supplier invoice — ask a test supplier to send a Peppol e-invoice to your endpoint. Check that QBESync receives and validates the PINT AE XML and that it creates a bill in QuickBooks correctly.
QuickBooks Desktop vs QuickBooks Online for QBESync
Both versions are supported. QB Desktop connects via the local SDK API — more stable and significantly faster for bulk data editing during the audit. QB Desktop is consequently recommended for businesses with higher invoice volumes and larger customer databases. QB Online connects via the cloud API and works well for lower-volume businesses and remote teams. Both versions follow the same 9-step setup process.
UAE E-Invoicing Deadlines
Businesses with revenue above AED 50 million must register with an ASP by 30 October 2026, go live on 1 January 2027, and face fines from 2 January 2027.
All other VAT-registered businesses must register by 31 March 2027, go live on 1 July 2027, and face fines from 2 July 2027.
The pilot phase is open to all businesses from 1 July 2026 with zero fines during testing.
The fine for not going live is AED 5,000 per month with no upper cap. The fine per non-compliant invoice is AED 100 capped at AED 5,000 per month. The maximum combined fine is AED 10,000 per month.
