We know you read this title and thought “Change isn’t permanent, is it?”

Well, yes and no. As the old saying goes – the only thing that stays the same is everything changes. The same is true about your EHR system; you can’t escape it, but you can prepare for it.

Many of you already know that hospitals and clinics change their EHR every few years. There are several obvious reasons for this, including:

- They’re unsatisfied with their existing EHR vendor

- Their legacy EHR is outdated

- It isn’t keeping up with regulation changes – such as MU2 to MU3

- Hospitals or clinics are acquired/sold

- Health Systems, IDNs, ACOs want to consolidate different facilities in the network using multiple systems into a single EHR platform

- Higher costs in maintaining their legacy system in house and annual contracts vs. “cloud based” “no contract” EHRs.

And a few of the not so obvious reasons:

- While many consolidation and acquisitions are going on, there are other facilities who wish to remain independent. These facilities break out of the ...
... IDN and want to change their current EHR.

- Specialty practices moving out of generic EHR platforms to specialty specific EHRs so that their clinical and workflow requirements are met. This frequently takes place in the behavioral health space.

- EHR vendors consolidate and sell their product to a competitor. Hospitals who are already on the EHR replacement, which now has a new owner, do not get along with them or do not like their path for the future (which is mostly sun setting old EHR and migrate to new EHR, and this is almost always at a cost to the hospital).

- Providers retiring from practice also need to maintain their legacy EHR data – and if you are a retiring pediatrician many times you need to maintain this for next 20 years!

What You Need to Know About EHR Change

This is why change is permanent. You can never escape a EHR change, but you can prepare for it! Here are few Key things you should know when changing EHR:

1. New EHR is not going to import all 10+ years of old data from the legacy EHR. They will only import the patient demographics and at the very best the current clinical summary of the patient; not the history.

2. Many states require legacy medical data to be maintained for several years.

3. Vendor neutral EHR archival products are a good choice to house legacy data for a fraction of current maintenance costs.
