Explaining How Fax To Email Services Operate
Fax to email is a technology which allows faxes to be diverted to an email system. This is often supplied for free. Essentially when a fax is transmitted it is received via an email attachment, generally a PDF which can then be printed, stored or erased.
For the service to operate it needs the user to have their faxes to be transmitted to a telephone number exclusively allocated to them by the service provider. If the user already has a well recognized fax number to their clients then it is a straightforward case of placing a divert on their existing number. However, for users that don't have an established fax number and are content to publicize the service providers allocated number it means that to gather faxes they can completely get rid with the fax machine and sometimes even the phone connection that would have been required.
Whilst fax to email technology does not completely take away the necessity for a fax machine to transmit faxes it definitely makes it less essential for receiving them. Provided the recipient can get email then they can get their faxes, even out on the road if they are using a blackberry ...
... device or computer that allows the viewing of PDFs.
Receiving a fax as an attachment rather than a printed piece of paper means that the user is able to see the fax first and decide if they wish to print. With lots more fax spam transmitted then this service can rapidly start to save money as the user is no longer required to burn through expensive ink cartridges to have the delight in receiving a deeply coloured piece of spam. Instead the spam can be viewed as an attachment and deleted.
For many in financial services fax to email is also seen as a more safe way of receiving classified papers. Documents lying on a fax device can be looked at by anyone, misplaced, damaged or simply not printed out correctly in the first place. By recieving faxes as an email it means that customer information and papers can be deposited electronically.
The gains of using a fax2email technology are two-fold. First of all it is an especially cost effective way of receiving faxes as it removes the requirement for a fax machine, modem, phoneline and also removes the costs linked with printing off documents. Second of all it is a more convenient way of receiving information as it allows users to electronically save faxes.
