Deciding Timelines While Planning For An Event

When you start planning for an event, is often a very important thing to decide. If you start too early, you may not be able to plan things well due to the unpredictability over a long period. If you start too late, you may not be able to pull off a good event. Therefore it is important for event planning to begin just at the right moment. It obviously depends on the profile of an event and of the guests who would be attending it. If you are planning an annual day event for a company, you may be able to start 3 to 6 months in advance and still pull it off. On the other hand, if you have to plan an international conference, you may have to begin a year in advance and still might find yourself stretched for time.
When you are planning for an event, it is important to get the guest list as quickly as possible as a lot of things are hinged on the profile of the guests and the number of guests who can make it to the event. The venue has to be chosen in a way as to accommodate the guests comfortably. Whether it is a week- long event or a one-day event also makes a huge difference when it comes to how the planning should start ...
... and how it should be scheduled. A week-long event obviously means that you have to take care of accommodation of the guests, their meals, refreshments, snacks and beverages right through the period. Event planning for such events could be a nightmare if one doesn’t start well ahead in time.
There could be plenty of things to do like getting all the reservations and tickets booked in advance, finalizing the venue, printing the invitations with directions from different transit points and establishing the itineraries. The same is true for weddings and engagement parties where a lot of guests have to be taken care of over a period of 2 or 3 days. It is important to set deadlines and individual targets for different phases of preparation. For example, while planning for an event on a large scale, there could be a timeline for finalizing vendors like catering, decorators, sound and lighting equipment providers and entertainers. In the course of event planning there should be a timeline for taking stock of all the event supplies required such as stationery for conferences, party favors and decorative supplies for wedding receptions and props and costumes for theme parties.
Event planning timelines can be successfully met only through delegation of individual tasks and specific deadlines to meet them. From finalizing guest list and booking of venues and vendors, way before the event to selecting a moderator for the final day along with a photographer, every task should have someone in charge answerable for it. While planning for an event, it is very important to leave at least 10% of the allocated time as buffer, for example, a large scale event that needs a yearlong preparation will need at least 1 month buffer time for contingency.
