Disclosure: I work at Perfonec Computers, an authorised Zoho Partner in Dubai. This article tries to give a fair answer, including the cases where you do not need a partner.

Every Dubai business owner who chooses Zoho Books faces the same question. Should we set it up ourselves, or pay a partner? Both options can work. The right answer depends on your size, your tax position, and how much time your team can spare. This guide sets out the trade-offs so you can decide with clear eyes.

When setting it up yourself makes sense

If your business is small and simple, a do-it-yourself setup can be perfectly reasonable. A freelancer or a small service company with a handful of customers, one currency, and no inventory has few moving parts. Zoho Books offers guided setup, and its help pages explain each step. If you are comfortable with accounting terms and you have a free weekend, you can get a basic system running at no extra cost.

In this situation, the main risk is not the software. It is tax settings. Check that your VAT registration details are correct, that your tax codes match your supplies, and that ...
... your opening balances agree with your previous records. If you are unsure about any of these, a short paid review from an accountant is cheaper than a mistake.

When a partner is worth the cost

The balance tips toward a partner as complexity rises. Several situations commonly justify the cost.

First, migration from another system. Moving from Tally, QuickBooks, Sage, or spreadsheets means mapping accounts, cleaning records, importing in the right order, and reconciling the result. A mistake here can sit unnoticed for months.

Second, mixed tax treatment. A business that sells to mainland customers, free zone customers, and overseas customers needs different tax codes for each, and errors show up on the VAT return.

Third, inventory and multi-currency trading. Stock valuation, landed costs, and foreign exchange differences are easy to get wrong without experience.

Fourth, several users with different roles. Approval rules and permissions need to be designed, not guessed.

Fifth, e-invoicing. The UAE is moving to structured PINT AE invoices sent through an accredited service provider on the Peppol network. Zoho Software Trading LLC appears on the Ministry of Finance list of accredited providers under accreditation number 121988, and you can verify it on the Ministry's website. However, the right setup still depends on your plan, your invoice volume, and the invoice types you raise, and the data behind your invoices has to be clean.

What it actually costs

Two costs apply either way. You pay Zoho for the subscription plan you choose. If you hire a partner, you also pay for implementation, migration, and training. The partner's fee depends on scope, so a business with a long customer list and years of history will pay more than a startup. Compare quotes line by line, and watch for low quotes that leave out migration or training, because those items often cost more later.

Doing it yourself costs time instead of money. A realistic estimate for a small business is a few days of focused work. For a larger business with history to migrate, it can take several weeks, and the time comes from the people you would otherwise use to run the business.

A middle path that many businesses choose

You do not have to choose all or nothing. Some owners set up the basics themselves and pay a partner for two things only: a review of the tax settings and a check of the data before e-invoicing starts. Others hire a partner for migration and handle everything else in-house. Ask any partner whether they offer a smaller, defined scope, and expect a clear written answer.

Questions to ask before you hire anyone

Ask whether the company appears on Zoho's official partner directory. Ask for UAE project examples, including both free zone and mainland companies. Ask for a written scope and quote before paid work starts. Ask how balances are checked after migration. Ask whether training uses your own data, and what support exists after go-live. Finally, ask whether they would tell you honestly if Zoho Books is not the right fit.

The dates that matter

Businesses with annual revenue of AED 50 million or more go live with e-invoicing on 1 January 2027. All other VAT-registered businesses must appoint a provider by 31 March 2027 and go live on 1 July 2027. A pilot phase is open now, and no fines apply during testing. After the deadline, failing to go live carries a fine of AED 5,000 per month with no upper cap, and each non-compliant invoice carries AED 100, capped at AED 5,000 per month.

A simple way to decide

Ask yourself three questions. Is my business simple, with one currency and few customers? Do I have time to learn and check the settings? Can I afford a mistake on my VAT return? If you answer yes to all three, try it yourself and get a short professional review. If any answer is no, a partner is probably the cheaper choice once you count the cost of errors.

Perfonec offers a free Zoho Books assessment for Dubai businesses, with a written scope and quote and no commitment.
