How To Choose Hrms Software For A Growing Indian Business
When a business has ten employees, spreadsheets and a shared calendar usually do the job. Once the team grows to fifty, a hundred or more, the cracks start to show. Attendance records go missing, leave balances get disputed, and payroll takes days instead of hours. This is the point where most companies start looking at HRMS software. Choosing the right one takes some thought, because switching systems later is painful and expensive.
Start with the core modules
A good HRMS for an Indian business should cover the full employee lifecycle without forcing you to stitch together several tools. Look for these modules at a minimum:
1. Employee records, with documents, bank details, PAN and UAN stored securely in one place.
2. Attendance, with support for shifts, overtime, late marks and regularisation requests.
3. Leave management, with configurable leave types and automatic balance tracking.
4. Payroll, which pulls attendance and leave data directly so you are not re-entering numbers.
5. Employee self-service, so staff can download payslips, apply for leave and update details on their own.
Check ...
... how well these modules talk to each other. The real value of an HRMS comes from data flowing from attendance to leave to payroll without manual steps.
Statutory compliance support
Compliance is where many generic HR tools fall short in India. Your software should handle Provident Fund, where both employer and employee typically contribute 12% of basic wages, as well as ESI for employees earning up to ₹21,000 a month. It should also deal with Professional Tax, which varies from state to state, Labour Welfare Fund where applicable, and TDS on salary under both the old and new tax regimes. Ask vendors whether they generate challans, returns and Form 16, and how quickly they update the system when rules change. If you operate in several states, confirm that state-specific rules are built in.
Mobile and attendance features
Many Indian businesses have staff who are not at a desk all day. Sales teams, service engineers and site workers need to mark attendance from their phones. Look for a mobile app that supports GPS-based check-in, geofencing for specific locations and, if useful, selfie attendance. Biometric device integration matters if you have offices or factories with fingerprint or face readers. The app should be simple enough that employees actually use it.
Understanding pricing
Most HRMS vendors in India charge per employee per month. This model is easy to budget for, but compare carefully. Some vendors quote a low base price and then charge extra for payroll, the mobile app or compliance features. Ask for a full quote that includes every module you need, any one-time setup fee, and the cost of support. Also check whether there is a minimum number of employees or a minimum annual commitment.
Implementation time
A small company can often go live within a few weeks, while larger organisations with complex salary structures may take longer. Ask the vendor what the process involves: data migration, policy configuration, parallel payroll runs and employee training. A vendor who offers hands-on onboarding support will save your HR team a lot of effort in the first few months.
A quick checklist before you decide
- Does it cover attendance, leave and payroll in one connected system?
- Does it handle PF, ESI, PT, LWF and TDS for every state you operate in?
- Is there a mobile app with GPS and geofenced attendance?
- Is the per-employee price clear, with no hidden module charges?
- How long will implementation take, and who will help you?
- Can employees use self-service for payslips and leave?
- Is your data stored securely, with role-based access?
- Can you get a free trial or demo using your own data?
Take time to run a trial with a few real employees and one real payroll cycle. Platforms such as Engage HRMS (https://hrengage.ai) and others offer demos that let you test these points before committing. The right choice is the one that fits your processes today and can grow with you over the next few years.
