Before You Order Custom Machined Parts: Seven Questions To Resolve

Ordering a custom machined part means agreeing on a product definition, not just buying an item from a catalogue. The supplier needs to know what to make, what evidence to provide, and how the delivery will be accepted.

Seven questions can help a buyer move from a promising quotation to a clear purchase order.

## 1. Which revision are we ordering?

Record the part number and revision on the purchase order. Confirm that the quoted model and drawing match that revision, including any changes agreed during the enquiry.

If the supplier suggested a larger corner radius or a different material, do not leave the decision inside an email chain. Either update the controlled design or record an explicit, approved deviation linked to the order.

This helps prevent a later dispute in which the buyer expects the latest drawing while the supplier manufactures an earlier quoted version.

## 2. What exactly is included in the price?

Check whether the quotation includes material, machining, heat treatment, finishing, inspection documents, packaging, and shipping. Identify any separate tooling or ...
... fixture charge.

If two suppliers return different prices, first compare their assumptions. One may have included a final inspection report while another has allowed only its normal production checks.

Ask suppliers to list exclusions. It is easier to agree on an omitted requirement before the order than after the parts have been shipped.

## 3. What makes a part acceptable?

Acceptance should follow the drawing and agreed order requirements. A sample assembly can be useful, but “it fits our prototype” is not a complete substitute for dimensional and functional criteria.

Separate critical features from general requirements. Explain how the part is used where that information helps the supplier understand inspection priorities.

For a mounting plate, hole relationships may matter more than an unused edge. For a sleeve, the internal and external interfaces may dominate the acceptance plan.

## 4. What evidence must arrive with the parts?

Decide whether the order needs material traceability, selected measurements, a first-article report, finishing documentation, or other records.

Make reporting expectations specific. “Inspection report required” can mean different things to different companies. Identify the characteristics to report, the quantity to inspect, and any customer form that must be used.

If you require serialized records, agree on the marking method and the link between each part and its results before production begins.

## 5. How will the first batch be released?

For a new design, consider whether a small approval batch should precede the remaining quantity. This can provide an opportunity to check assembly, appearance, and documentation before committing the whole order.

An approval step also affects the schedule. Specify who approves the parts and how long the supplier should allow for that decision.

Do not assume that approval of a sample automatically changes the drawing. If testing reveals a necessary revision, release the change through the same controlled process used for the original design.

## 6. What happens if something changes?

Agree that material substitutions, finishing changes, and departures from the drawing require written approval where applicable.

Also identify the contact responsible for technical questions. A procurement contact may manage price and delivery but need an engineer to approve a changed fit or surface requirement.

Fast decisions depend on routing questions to the right person, not on allowing the supplier to guess.

## 7. What does delivery mean?

Confirm the delivery address, shipping terms, packaging, and required documents. Distinguish the date parts leave the factory from the date they are expected to arrive.

If the parts have delicate edges or cosmetic faces, describe the protection needed. If a batch contains similar-looking revisions, require packaging labels that prevent mixing them.

Keep the order acknowledgement with the approved files. It becomes the shared reference when production or receiving teams need to check what was agreed.

A reliable purchase order answers these questions without forcing either side to reconstruct the project from scattered messages. That clarity helps the supplier manufacture consistently and helps the buyer receive parts with fewer surprises.
