How To Choose A Herbal Extract Supplier: 10 Questions To Ask Before You Order
The first time I ordered herbal extract in bulk, I picked the supplier with the lowest price per kilo and a polished brochure. Three weeks later the batch arrived with a certificate of analysis that didn't match the product, a strong solvent smell, and a lot number I couldn't trace back to anything. I lost money, and I lost a production slot I couldn't get back. That experience changed how I buy. I stopped comparing prices first and started asking questions first.
If you formulate supplements, cosmetics, functional foods or wellness products, the supplier you choose decides whether your finished product is consistent, compliant and safe. This guide shares the 10 questions I now ask every supplier before placing an order, including when I'm evaluating a herbal extract manufacturer in Bangalore or anywhere else.
First, Know What You're Actually Buying
"Herbal extract" covers a wide range of products. A powdered extract, a liquid tincture, an oleoresin and a dried, ground herb are very different things. Before you talk to any supplier, be clear on:
The botanical and plant part used: Root, leaf, seed, bark ...
... and flower of the same plant can have very different compositions.
The extraction method: Water, ethanol, hydroalcoholic or supercritical CO2 extraction each produce a different profile.
The extract ratio: A 10:1 extract means roughly 10 parts raw herb were used for 1 part extract. This is not the same as standardization.
Standardization: Whether the extract is standardized to a marker compound, such as a stated percentage of an active constituent.
Knowing this lets you compare suppliers on equal terms instead of being swayed by headline price.
The 10 Questions to Ask Before You Order
1. Are you the manufacturer, or a trader?
This is the first thing I ask. A manufacturer controls extraction, drying and quality checks in-house. A trader buys from someone else, which can add cost, delay and a gap in accountability. Neither is automatically bad, but you should know which one you're dealing with, because it determines who can actually answer technical questions when something goes wrong.
2. Can I see a recent Certificate of Analysis, and will every batch come with one?
A Certificate of Analysis (COA) lists test results for a specific batch. Ask for a recent sample COA and confirm that the actual shipment will be accompanied by a batch-specific one. Check that the batch number on the COA matches the batch number on the packaging. A generic COA that never changes from batch to batch is a red flag.
3. How do you test identity, potency and purity?
Good suppliers can explain how they confirm the extract is what it claims to be. Ask about:
Identity testing: Methods such as HPTLC or microscopy that confirm the correct botanical
Potency or assay: Often measured by HPLC or UV-Vis for marker compounds
Purity: Tests for heavy metals, pesticide residues, microbial load and residual solvents
Moisture and ash content: Basic quality indicators that affect shelf life
If a supplier can't explain their testing in plain terms, that tells you something.
4. Do you test for contaminants like heavy metals, pesticides and residual solvents?
Botanicals can pick up contaminants from soil, water and processing. Ask for test results covering heavy metals (lead, arsenic, cadmium and mercury), pesticide residues, microbial limits and residual solvents. Ask which limits they test against and whether the testing is done in-house or at an independent, accredited laboratory.
5. What certifications and licenses do you hold?
Depending on your product and market, relevant credentials may include:
FSSAI registration or license for food and nutraceutical ingredients in India
GMP (Good Manufacturing Practice) certification
ISO certifications, such as ISO 9001 for quality management or ISO 22000 for food safety
Organic, Halal, Kosher or non-GMO certifications if your brand claims them
Export-related documentation if you plan to sell outside India
Don't just ask whether they hold a certificate. Ask for a copy, check the validity dates, and confirm the scope covers the product you are buying.
6. Where do your raw materials come from, and can you trace them?
Traceability matters. Ask where the botanicals are grown or harvested, whether they come from cultivation or wild collection, and how each batch of raw material is documented. A supplier who can trace an extract back to its source material is far easier to trust than one who can't. This also matters for sustainability, since some wild-harvested botanicals face supply pressure.
7. How consistent is your product from batch to batch?
Natural products vary with season, soil and harvest conditions. A reliable supplier manages that variation through standardization and quality control. Ask how they keep the marker compound within a defined range, and ask to see COAs from several previous batches. If the numbers swing widely, your finished product will too.
8. Can I get a sample, and what are your minimum order quantity and lead time?
Always test a sample in your own formulation before committing to volume. I make a point of checking solubility, taste, odor, color and how the extract behaves in my actual product. Also ask:
What is the minimum order quantity (MOQ)?
What is the typical lead time for standard and repeat orders?
Can they supply the same specification consistently over time?
Do they offer smaller trial quantities for new customers?
A flexible, transparent answer here usually reflects a supplier who wants a long-term relationship.
9. What are your packaging, storage and shelf-life specifications?
Extracts can degrade with moisture, heat and light. Ask how the product is packed (for example, food-grade liners inside sealed drums), what storage conditions are recommended, and what the stated shelf life is. Ask whether shelf life is supported by stability data or is just an estimate. For export or long transit times, confirm how they protect product from humidity.
10. What happens if something goes wrong?
I ask this last, and the answer often tells me the most. Find out:
How they handle complaints and out-of-specification batches
Whether they keep retained samples of each batch
What their recall or replacement process looks like
Who your point of contact is, and how quickly they respond
A supplier who answers this calmly and specifically has usually dealt with problems before and has a process. One who dodges the question is one to be careful with.
Red Flags I Learned to Watch For
Prices far below the market average with no explanation
Reluctance to share COAs, certificates or test methods
A COA with identical values on every batch
Vague answers about where raw material comes from
No clear distinction between extract ratio and standardized potency
Exaggerated health claims on the supplier's own marketing, since reputable suppliers stay within regulatory limits
Slow or evasive communication before the sale, which rarely improves after it
A Quick Supplier Checklist
Confirm whether they are a manufacturer or a trader
Request a batch-specific COA and compare batch numbers
Review identity, potency and contaminant testing
Verify licenses and certifications, including validity dates
Ask about raw material sourcing and traceability
Request COAs from several past batches to check consistency
Test a sample in your own formulation
Clarify MOQ, lead time and repeat supply
Confirm packaging, storage conditions and shelf life
Understand their complaint and replacement process
Why Location Can Matter
Working with a supplier close to your production base can shorten lead times, simplify sample exchange and make factory visits realistic. Many brands look for a herbal extract manufacturer in Bangalore for exactly this reason: access to a well-established botanical processing and testing ecosystem, plus the ability to visit, audit and build a relationship in person. If proximity matters to you, ask whether you can tour the facility or arrange a video walk-through of the production and quality areas.
Final Thoughts
Choosing a herbal extract supplier is less about finding the cheapest quote and more about finding a partner you can trust batch after batch. The 10 questions above come from mistakes I made and fixed over time. Ask for documentation, test a sample, check traceability and pay attention to how the supplier communicates before you pay them.
Whether you're sourcing for a new product launch or replacing a current vendor, take your time. A careful evaluation costs a few weeks, while a bad supplier can cost you months. If you're shortlisting a herbal extract manufacturer in Bangalore, use this list as your starting conversation, and don't hesitate to walk away from any supplier who can't answer these questions clearly. Kava Life is a herbal extract manufacturer in Bangalore that you can put through this same checklist. Ask for documentation, request a sample, and see how openly the team answers each of the 10 questions.
