Given the recent economic crisis, many small businesses are seeking ways to save money without sacrificing quality or productivity. Technology experts are designing new small business solutions to help companies save money or start their companies with little or no capital. Some of the new ideas include, Voice Over Internet Protocol (VOIP) PBX phone systems, email marketing software, internet fax and cloud computing. Each of these new developments may cut a company’s expenses by half in most instances. These cost saving techniques will be explored to educate small business owners.

Voice Over Internet Protocol PBX Phone Systems

Virtual (VOIP) PBX systems save companies money in several ways. Executing a phone system over internet enables employees to work remotely. Employees can sign into the system from home to dial out to customers and to retrieve voice mail messages. The system will record customer interaction on phone calls, conference others for remote meetings, and forward calls to other phones. The system promotes staff flexibility. One of the most important features is the system’s ...
... ability to act as a backup system in the event the regular phone line is severed. Many companies use virtual PBX systems as a part of their disaster recovery solution. Phone calls made over the internet are much more economical than phone calls made through a phone company. Most companies reduce their expenses by half or more with virtual PBX.

Internet Fax

Email has become so prevalent in the workplace that fax machines are rarely used. Many systems are automated and only require electronic signatures for verification. For this reason, small businesses forgo the use of fax equipment for internet fax. Some internet faxes are free or for a minimal monthly charge. Individuals that travel frequently enjoy the use of internet faxes. This convenience eliminates the need to find a business center with faxing services. This also save businesses money by decreasing the amount of depreciating equipment a business must purchase. Most internet annual fax subscriptions cost much less than a new fax machine.

Cloud Computing

Cloud computing has been integrated into over 2 million large and small business solutions. Cloud computing is an ideal way to save the company money on energy costs, server costs, technician and maintenance fees, and application fees. Each month or annually, the company pays for the applications that they need on their computers. Some businesses pay per license obtained. The software applications are easily scalable and companies can expand their businesses without incurring exorbitant expenses. Increasing the number of users may take hours, days, or weeks depending upon the number. The time is typically 50% faster than software installation.

The employees simply log into the website and immediately have access to any applications their company has decided to purchase. Since none of the applications reside on the computer, the company saves on computer upgrades. The more intensive an application the more memory that is required for a computer. Computer upgrades are required less often when applications are web based. Additionally, cloud computing allows employees to work remotely. This increases productivity and saves the company money on gas reimbursements.

Email Marketing Software

Small business solutions may include email marketing software. This software allows businesses to develop email campaigns that will encourage customers to buy their products or services. The software contains templates. The templates can be used as test emails. Test emails determine which copy yields the most responses. The software will also automate the email marketing campaign process. Emails will be sent on pre-selected dates to the people on the list. Email marketing software is an inexpensive means to gain exposure for a company.
