The standards for an environmental management system (EMS) are outlined in the voluntary standard ISO 14001. A company can lessen its negative environmental effects, adhere to relevant rules and regulations, and continuously improve its environmental performance by implementing an environmental management system (EMS), which is a collection of actions and procedures. How to create and implement an EMS is outlined in the ISO 14001:2015 standard. The primary objective of ISO 14001 is to assist businesses in reducing their adverse environmental effects and continuously enhancing their environmental performance. This is accomplished by reduced waste, more effective resource utilization, and adherence to all relevant rules and regulations.

Although ISO 14001 does not require documented procedures, it does contain some required documents that must be controlled. Furthermore, it is understood that, unless you are an exceptionally small company with very few employees, an organization are likely to need to document some of the procedures and processes you use to maintain consistency across employees in your environmental management ...
... system. With this in mind, the ISO 14001 requirements include seven critical elements to guarantee that documentation is appropriately controlled. Here are the seven components required to govern any papers you must create:

• Approve for adequacy: When you generate ISO 14001 EMS documents for staff to use, you must have a method to ensure that it is sufficient to ensure that the job is done correctly. This is frequently accomplished by a defined review and approval by the process's selected specialists, who can ensure that what the document states is correct. EMS documents are typically approved by a member of the top management.

• Review, update and re-approve: As the stated procedure is followed, it is critical to guarantee that the findings required to prevent the environmental consequences caused by the process are obtained. If the need for changes is recognized during this evaluation, the written ISO 14001 procedure must be amended and re-approved for usage. A best practice is to allocate responsibility for reviewing and modifying the procedure to a document owner who is an expert in that process.

• Identify changes and current revision status: It is crucial that when you edit a document, employees can easily see what has changed. If you make a little but significant change to a long process, such as switching a measurement from monthly to weekly, this may be overlooked if the entire process (much of which is previously known) is evaluated again. This is simple to achieve with most word processing software's change bars or a summary of changes listed in the document. It's also vital to know what version of the document you're looking at.

• Ensure the relevant version is available: It is crucial to make sure that anybody who has to utilize an updated document is informed of the change and has access to the most recent version. If there is one location where people go to access documents in electronic form, this is simple to do (you only need to update that location); however, with paper papers, you must make sure that copies are taken out of the point of use and replaced. Why did you update the document in the first place if you didn't need the staff to be aware of and understand the content in the most recent version?

• Ensure legibility and identification: The environmental management system's requirements cannot be adequately implemented if people are unable to comprehend a document or understand its purpose. Both physical and digital copies of a procedure fall under this rule. Do people have the tools they need to read the document, or are there outdated programs or pieces of hardware being used by the operators that won't be able to open the file correctly?

• Ensure external documents are identified and controlled: If you have determined that a document, such as a legal document or a customer requirement document, from outside your organization is essential for the planning and operation of the environmental management system, you must have a way to identify the documents so that employees who must use it understand what it is and to control who has access to it. This is especially important in the case of a sensitive document like a customer confidential specification.

• Prevent unintended use when obsolete: There must be methods to ensure that staff don't mistakenly use documents that have been changed or declared old and no longer in use. It is crucial to have a clear mechanism to indicate when a document is outdated and shouldn't be used, especially if you plan to maintain these records for any kind of archive use.
