Almost every organization provides their employees the facility of email communication for internal and external purposes. Moreover, Internet usage is also allowed for organizational benefits. Availability of email communication and Internet helps employees to do something beneficial for employer's business. However, it has been found that most of the employees use the available resources for their own use along with using them for organization's benefit.

There are many cases found where employees use email communication to transfer organization's confidential data out of the company. It has also been noticed that some employees run their own part time businesses using the provided Internet facility. Therefore, to stop the misconduct of provided resources and keep the organizational data secure, employer's often keen to monitor employees' activities. Mentioned below are some of the cases where employer's fear about legal issues due to which employees monitoring becomes essential:

i.Employees are most often found spreading illegal content related to political comments, discrimination, etc. through emails. Spreading ...
... such type of content can create legal issues against the employer, as the content has been spreading from a registered domain. In addition, such content may lead into to public agitation for which employer will be held, as a thinking might come in the mind that employer has allowed his / her employees to spread such kind of material.

ii.In most of the cases, employees are found downloading, watching, and spreading pornographic content through their professional email ID. Spreading such offensive material can create hostile work environment. Another concern about spreading pornographic material is related to child pornography, which has been banished all around the world and considered as a serious crime. If the domain of the company is found indulged in circulating and promoting child pornography then you can imagine that what kind of legal nightmare will be created for the organization.

iii.Employees are also found downloading and using software in an illegal way that is using the software without providing the original license key. Using software without original key comes under the software infringement for which employer may need to pay high penalty.

iv.Most of the content available over Internet is protected by copyright or other type of privacy rights. Accessing and using such content for personal use is an illegal issue.

v.Employees are found stealing organization's confidential data.

These are some reasons that force the employer to monitor employees' activities. There are many tools available in the market, which help the employer to keep an eye on his / her employees. Such a tool that enables the employer to audit employees Internet and emails related activities is called spyware software.
