Some Of The Benefits Of Using A Matter Management Software System Designed Specifically For The Law

If you are considering matter management software systems for your law practice you will no doubt have rapidly discovered that there are a lot of them out there. Heck, as a lawyer you are busy enough with the day to day running of your practice, so how are you supposed to find the time to understand all this high-tech stuff, unless you are a geek, which in all probability you aren't? You have clients calling, clients emailing, court sessions to attend, staff off sick, and all the rest of it.

However, the good news is that, despite the fact that it may take some time to get your head around it, once you have matter management software systems up and running it will save you so much time you won't believe it. It simply gets rid of a lot of the grunt work and lets you get on with attending to your clients and working more billable hours rather than trying to cobble bills together from post it notes and spread sheets.

There is one big advantage to getting your bills out on time and in a professional format, and that is that clients are more likely to sit up and take notice of them, rather than pushing them to the bottom of the drawer. Yes, you are a professional, but at the end of the day it is all about the amount of money that you take home, otherwise you would be doing something completely different. Clients who take months to pay their bills, or don't pay at all, are the last thing that you need.

One of the things that you really must avoid is generic software. There is plenty of that on the market, and to some extent it would work for you, but you need software that is designed specifically for the legal profession.

Why?

Because you bill differently from most other businesses. You bill on time, you may bill on a contingency basis, you may bill one or more parties on the same matter, you may undertake a case on a flat fee basis, and so on. So you need software that can take all that into account. You are not like a plumber who puts in a new bath and sends a bill.

One thing that you can do with your software is to have an encrypted client portal so that your clients can access it and keep up to date with their case. You should avoid unencrypted email when discussing sensitive matters with a client as it could easily fall into the wrong hands. With an encrypted portal you can provide clients with documents to review, and check the status of their case, and they can also have access to their invoices. This means that you cut down on unnecessary phone calls and emails, which results in you having more billable time in which to work.

Many lawyers are now switching over to cloud-based systems as opposed to on premise for a number of reasons. Not the least of these is that it totally avoids the need for constant hardware and software upgrades. Nor do you need to employ an IT manager (at considerable expense) in house. Cloud software providers keep up to date with the very latest technology - they have to because otherwise they would lose clients - so you always have the latest at your fingertips.

Some legal practices are still concerned about security, and that is understandable. However, cloud-base systems are ring-fenced with the latest security systems as well. Certainly, there have been instances of security breaches, but these are almost always a result of human error rather than any fault with the technology.

Another huge benefit of using a cloud-based system is that you can access it from anywhere. No longer do you have to sit waiting for your case to come up in court. You can now access your matter and be working billable time instead. All of your documents, client data, and calendar are easily accessible wherever you have an internet connection. If you don't feel like going into the office today, you can simply work from home and it won't make a bit of difference.
