Organize Your Team For Event Management

Okay, you have a great event at hand and you’re done with convincing your client about how successful the event will be. However, securing the contract is only part of the deal; remaining things are a headache which will surely spin your head. The remaining part deals with your organizing skills and you have to take care of it.

Once you have bagged the contract, you will have to do the event planning and take care of the stages like the revolving stages. For this, you’ll have to work with the set-up crews, suppliers, vendors and the venue owners etc. All these people are the ones who will take care of your team and you’ll require skillful people to do the job for you. The time of stress begins to come closer when the date of the event is nearby.

Picking your team and delegation

When you have your team ready, how will you approach them and delegate the work accordingly? Are you well aware as to what is going to happen and whether any task is yet to be completed?

These are some tips that will help you in organizing the team in a fluid and an efficient manner-

Divide in groups- Your team members must be grouped in such activities they are familiar with and want to represent. You must undertake a stringent selection process and ensure that the team is not let down.

Be careful with the selection- You must be careful with the selection or else it will be a stressful period for your team.

Assign the duties- Keep track of each and every team member and assign the duties as per their capabilities.

Communicate- Do this as much as you can, only then will you be able to understand the tasks and its duties. Take regular updates about the progress of their work.

Delivery Date- This is a date which every team member must keep in mind. Towards the final stages, no one will be excusable for any delayed deliveries. For the successful delivery of the tasks, ensure good team work and spirit.

Human resource management- Handling team members is a tricky business and for that you require people management skills on top of great design ideas. You also must have a knack for problematic members present in the team. Be organized with your set of team members and be prepared for the event and stay in touch with the stage equipment manufacturer.
